Logistics Journeyman/Administrative Assistant

Responsibilities:

  • Visitor coordination
  • Prepare and Track program related job openings
  • Assist PM to monitor timesheets
  • Assist PM to complete required forms for Human Resources
  • Process requirements for CAC
  • CDRL Compliance and Tracking
  • Coordinates and arranges travel for program personnel
  • Submits approved expense reports upon completion of travel and file documentation
  • Prepares receipt packages for reconciliation of credit card account statements
  • Expertise in calendar functions of MS Outlook
  • Excellent interpersonal communication skills, including the ability to work on multi-functional teams
  • Creating and editing presentations, documents, memos, and reports.
  • Calendar management. Ensure Program Manager and others’ calendars are updated and accurate.
  • Anticipate schedule actions and updating accordingly. Balance conflicting appointments.
  • Provide prompt follow-up to meeting requests and correspondence.
  • Respond quickly to changes to meetings and logistics effectively to all parties.
  • Work closely with Staff to schedule meetings and coordinate communication between leaders.
  • Prepare meeting materials in advance of meetings.
  • Prepare, edit and proof correspondence, presentations and reports utilizing MS Office suite.
  • Attend staff meetings and take minutes for distribution to teams.
  • Assist PCA (Program Control Administrator) as directed
  • Track receipt of subcontractor monthly invoices
  • Able to maintain confidentiality of projects and assignments as necessary
  • Other duties as assigned

 

Education/Skills Required:

  • Must have a bachelor’s degree in a related technical discipline and two years military, aviation, or electronics logistics experience. Years of experience may be substituted for education requirements.
  • The successful candidate will exercise discretion and sound judgment, relieving the Program Manager and other leaders of details not requiring their involvement.

Other skills required include:

  • Prior experience supporting senior level management;
  • Superior Proficiency in Microsoft Office including Word, Excel, PowerPoint, and Outlook;
  • Extensive Experience with making/changing travel and meeting arrangements both domestic and international;
  • Extensive Experience with preparing and submitting expense reports;
  • Ability to manage multiple tasks simultaneously, flexibility and quickly adjust to changing priorities;
  • Exceptional communication skills, verbal and written;
  • Attention to detail;
  • Ability to maintain confidentiality;
  • Exceptional interpersonal skills and demonstrated ability to deal with executive level contacts both within and outside of the company;
  • Exceptional organizational skills;
  • Effective decision-making skills;
  • Proven ability to handle competing priorities/requests.

 

Clearance:

  • A Secret Clearance is required.
