Administrative Assistant and Office Manager

 

 

Position Summary:

We are seeking a highly motivated and collaborative Administrative Assistant and Office Manager. The

Administrative Assistant and Office Manager will support the Chief Executive Officer (CEO), Chief

Technical Officer (CTO) and Chief Quality and Regulatory Officer (CQRO), and the senior leadership team , improving the day to day efficiency for the leaders. A successful candidate will anticipate the needs of the leaders and help them stay focused by resolving operational and administrative issues before they arise. This position will have the opportunity to work with individuals across the company as the office manager, ensuring smooth operation of our office.

 

Scope of Responsibilities  Calendar management:

  • Manage day-to-day schedules in such a way that the executive can complete their obligations in an organized, efficient way
  • Coordinate internal and external meetings including but not limited to team meetings, full staff meetings, all hands meetings, off-site meetings, one-on-one meetings, etc.
  • Ensure a strong understanding of team and executive priorities in order to manage calendar as effectively and efficiently as possible
  • Travel bookings (air, hotel, ground transportation and itineraries)  Event management:
  • Plan employee lunch and learns, training, etc.
  • Plan and execute company meetings and events
  • Assist in planning client visits
  • Order catering for various on-site meetings and events
  • Office management:
  • Order office supplies and equipment
  •  Coordinate with office vendors, service providers and building management as needed
  • Handle incoming & outgoing mail including coordination of shipments and deliveries
  • Greet and guide visitors, vendors and clients, and will be the first point of contact in the office
  • Additional tasks:
  • Create and submit expense reports on behalf of the executives
  • Organize and maintain landmarkbio.com TEAMS site
  • Assist with projects as needed

  • Authorization to work in the United States
  • Communicates in a professional, friendly, efficient manner
  • Strong oral and written communication skills
  • Excellent time management skills and ability to multi-task
  • Ability to maintain high level of integrity and confidentiality
  • Ability and willingness to work a flexible schedule when necessary
