We are seeking applications for the position of Head of Facilities & Operations, under the. This position will be responsible for overall operations of all the commercial and residential properties under the ambit of with particular focus on the event management halls. He/she will strengthen the systems, processes and SOPs.

Responsibilities:

  1. Management of properties:
    • To manage all the commercial and residential properties under the, across Country, and ensure appropriate legal documentation related to these properties are in place.
    • Renewal of agreements of the vendors providing services including security and maintenance of lifts, generators, etc.
    • To ensure timely repair and maintenance of all the properties is undertaken and ensure proper verification of the quotations, invoices etc. for the payments and to maintain accurate records of all maintenance.
    • Supervise the maintenance staff and provide them directions.
    • Ensure timely renewal of service agreements with the vendors providing services, including but not limited to, security and maintenance of ACs, lifts, generators, and other equipment
    • Undertake periodic visits to the properties and respond promptly to clients’ needs.
    • Developing and update the policies and procedures related to the maintenance of all properties ensuring compliance to the national laws.

  2. Sales and Marketing
    • Handle marketing function of the exhibition halls by attracting clients through various marketing strategies including but not limited to advertising, obtaining referrals from current corporate clients.
    • Management of the contracts with clients by negotiating favorable terms and ensure timely collection of agreed rentals, and represent the company in a professional manner at all times.
    • Negotiate optimum cost-effective rates with contractors and suppliers and prepare comparative analysis for decision making.

  3. Safety & Security
    • Responsible to oversee the security of the premises, recommend, install and maintain security devices; establish and enforce precautionary policies and procedures.
    • Develop and implement appropriate emergency response system within company guidelines to minimize liabilities.

  4. Asset and Inventory Management
    • To ensure appropriate management system is in place for recording the assets and stocks and ensure physical verification is carried out periodically.

  5. General Duties:
  • Ensure efficiency of staff and provide support to encourage teamwork.
  • Administer action plans consistently and on a timely basis in relation to performance problems, ensure appropriate documentation, , and communicate with the board for appropriate disciplinary measures (when necessary).
  • To maintain and up to date all the statutory requirements related to the properties including valid licenses, as applicable to the facility.
  • To plan and develop SOPs to improve the quality of operations and develop and implement preventive maintenance program for the equipment and maintain professional records of all maintenance and management tasks.
  • Ensure timely billing and collection from debtors of all properties.
  • Oversee proper documentation of overtime hours, absenteeism, allowances and deductions for the payroll, which is timely submitted to the finance department.
  • Deal with the insurance company in case of any insurance claims and handle other administrative matters, including correspondence, related to all properties.
  • Ensure that the buildings are meeting government regulations and environmental, health and security standards.

Qualifications, Experience & Skills required:

  1. Preferably Bachelor’s degree in Management, Marketing and Sales. Any additional qualification in Finance will be an added advantage.
  2. At least 5 years of relevant work experience in managing properties and operations.
  3. Excellent sales & marketing skills to expand client base to meet set targets.
  4. Good knowledge of maintenance and administration along with computer skills (MS Office).
  5. Understanding of building maintenance and able to deal with Contractors and Sub-contractors.
  6. Ability to handle maintenance personnel, security services and others.
  7. Experienced in handling complex tasks independently and pro-activeness in management.
  8. Language proficiency: Fluency in English and Kiswahili (preferred).
