On Behalf of our Client, we are looking for an Executive Admin, to ensure that all Office Day to day administrative matters is performed in coordination with verities of departments including Operations and Human resources. MISSION STATEMENT sets out the guidelines to meet its SET OBJECTIVES. To Meet them, requires a highly Competent, Professional and self-motivated individual or group that not only understand but are focused and committed to achieve these goals.

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Assists the CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
  • Communicates with the general staff on the CEO’s behalf and coordinates logistics with high-level meetings both internally and externally. Coordinates meetings and strategic activities with The Management Team, and staffs.
  • Conducts research on prospective client identify and evaluate current needs and assembles materials needed for the proposals.
  • Drafts reports, letters of solicitation, proposals; prepares and coordinates oral and written communication with existing and prospect client.
  • Supports CEO in his/her external commitments related to Scope of contract, including service on external boards, committees and other groups.
  • Keeping and tracking stock of office supplies and ensure availability of daily requirements to provide smoothly work culture for the CEO.
  • Handling sensitive information in confidential manners
  • Photocopying and printing out documents on behalf of the CEO
  • Coordinating repairs to CEO office as well as residential premise and equipment’s
  • Covering the Front desk when required to include but is not limited to, answering phones, accepting package and other deliveries, and greeting and signing in visitors/guests.
  • Provide administrative support for the Heads of Departments
  • Manage collection/ dissemination of information to employees under the instruction of the CEO
  • Assist in the organization of Internal and External events
  • Represents the CEO in designated meetings as required.
  • Assists in coordinating the agenda of senior management team meetings. Prepares an account of the meetings and designates and follows up on assigned action items.
  • Assist Head of Department in administering all requirements for expatriates including work and residence permits, necessary documents for their dependents and any other basic requirements for company foreign invited guests.
  • Support Human resource department in conducting disciplinary hearings and procedures.
  • Support Human resources department in coordinating hiring and when needed facilitating exit procedures.
  • Coordinate and support HSE department in preparing induction, health and safety trainings and all other requirements relating to HSE policy.
  • Ensure total Compliance to HSE Policy and Procedures as well as Client Safety Procedures.
  • Responsible to assist the CEO in spearheading Incident as well as Hazard reporting at the workplace

MINIMUM REQUIREMENTS / QUALIFICATION

  • A Bachelor Degree in Public Administration, Business Administration, Human resources, social studies, law or any related field.
  • At least 2years experience in the relevant field.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Knowledge of Computer and Computer applications.
  • Good demonstration in managing people.
  • Good communication and analytical skills

  • Professional and ability to keep matters confidential.
