Estimator/ Project Coordinator Landscape Construction

Our client is a well regarded Landscape Design/Build firm that caters to high end residential clients in the Chicago market.  They do property renovations to include patios, outdoor kitchens, pools, walkways, retaining walls, lighting, irrigation, plantings and other outdoor elements.  Their projects range from $5k to well over $300k and their portfolio is very nice.

They want to hire an Estimator/Project Coordinator who can create estimates for clients while getting pricing from subcontractors who fulfill about 90% of the work.    

The purpose of the Production Coordinator is to help the company grow and make a profit by:
- Estimating material, labor, equipment and subcontractor costs to ensure each job is priced profitably.

- Preparing contracts, managing the purchase order and change order process to ensure accounting accuracy.

- Sourcing and procuring plant and hardscape materials across projects, consistent with quality, schedule and cost considerations.

- Assisting the Production Director with all phases of pre-production to ensure project readiness.

- Continually looking for better ways to do your job.

Key Job Responsibilities


• Estimating material, labor, equipment and subcontractor costs to ensure each job is priced profitably.

- Create estimates for design-build, bid-build and enhancement projects on schedule.

- Prepare bid packages (plans, specifications and pricing documents) and manage the subcontractor RFP process to ensure timely pricing.

- Prepare bid form pricing and proposals for presentation to customers.

- Prepare Job Planners to establish all labor, materials and equipment required to complete projects by work area.

- Track budgeted vs. actual project costs to improve estimating accuracy.

- Collaborate with the Project Director and Senior Project Foreman to develop production rates and improve estimates and job planners.


• Preparing contracts, managing the purchase order and change order process to ensure accounting accuracy.

- Prepare all contract documents, including installation agreements, proposals and bid form pricing.

- Mange the purchase order process for subcontractors and vendors to confirm that contract amounts are entered accurately in the accounting system.

- Mange the change order process to ensure that no work goes unbilled.


• Sourcing and procuring plant and hardscape materials across projects, consistent with quality, timing and cost considerations.

- Review plant material specifications with design director or landscape architect for each project

- Source, evaluate and procure the highest quality plant material on budget.

- Coordinate shipment and pickup of materials to ensure that projects run on schedule.

- Audit material invoices for accuracy and manage inventory to minimize waste.

- Develop new supply sources as needed.


• Assist Production Director with all phases of pre-production to ensure project readiness.

- Prepare permit applications to start projects on schedule.

- Issue permit sets and inspection lists to project team and manage inspection schedule to ensure compliance.

- Confirm approved material selections to eliminate rework.

- Submit and renew utility locate requests.

- Make recommendations to improve estimating, purchasing and project administration systems.
