Founded in 2013 by Co-Presidents Marsha Koelmel and Siobhan Smith, Catapult is a team of professionals who work with leaders and organizations to develop and deliver consulting services in the areas of Leadership & Organizational Development, Executive Coaching and Retained Executive Search.

To further grow our team and support our business, we are seeking an Office Manager (OM). This individual will be a vital component to our team. The OM must be comfortable wearing multiple hats and able to work independently with minimal supervision. The OM must be well organized, flexible, and enjoy the challenges of supporting a diverse and dynamic team. This individual must also be able to handle confidential matters (both Catapult and client) with discretion.

WHAT IT TAKES

The successful candidate will interface regularly with all Catapult team members. They will support the administrative & operational needs of the Catapult Team and Clients as well as be responsible for overseeing the day-to-day activities of the office. Day-to-day responsibilities include organizing and coordinating office administration and procedures to ensure operational effectiveness, efficiency and safety. The OM will serve as the point person for all vendors and suppliers while being present in the office. They will provide administrative support for both Catapult and clients in connection with the virtual learning platform (VLP). In order to support these components of the business the successful candidate will:

  • Organize and update office operations, processes, and procedures
  • Assist with the Catapult Team’s calendars and scheduling as needed
  • Provide administrative support for VLP
  • Coordinate with IT vendor support on all office equipment, hardware and software
  • Manage relationships with vendors, service providers, and landlord
  • Provide general support to visitors
  • Point person for maintenance, mailing, supplies, equipment, and errands
  • Coordinate and arrange travel plans for all team members as needed
  • Create PowerPoint, Excel and Word documents to support Team as needed
  • Perform and complete special projects as needed
  • Support COO with relevant financial review and analysis
  • Participate actively in the planning and execution of company events
  • Ensure filing systems are well-designed and maintained
  • Ensure security and confidentiality of data
  • Maintain a safe and secure work environment

MINIMUM QUALIFICATIONS

  • Strong organizational skills
  • Ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with all constituents
  • Expert written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving
  • Emotional maturity
  • Highly resourceful team-player, with the ability to also work effectively independently
  • Demonstrated ability to meet deadlines in a fast-paced environment
  • Proven ability to handle confidential information with discretion

EDUCATION AND EXPERIENCE REQUIREMENTS

  • Proven office management, administrative or assistant experience
  • Customer service experience preferred
  • Proficient in Apple/Mac operating systems and Microsoft Office
  • Knowledge of accounting, data and administrative management practices and procedures
