Election Services Specialist

Position Overview

The Election Services Specialist must be enthusiastic about what they do, technology driven and be willing to work in an energetic, fast-paced, flexible environment. They will apply working knowledge of data importing and formatting, training materials, technical updates, support of product and software, composition and layout for optical scan ballots and tabulation programming.


Duties and Responsibilities

  • Assist in the composition and ballot layout for all customers in Minnesota, North Dakota, and South Dakota, within deadlines established by Secretary of State directives.
  • Generate tabulation ready PDF proofs, customer modifications, and maintain file organization into the e-Synergy portal for customer access in compliance with internal deadlines and customer service level agreements.
  • Assist in establishing an approved template of each state prior to the start of composing the ballot layout/design for all counties in Minnesota, North Dakota, South Dakota.
  • Responsible for organizing and maintaining customer database for programming media, tracking, and organizing the election memory sticks for programming.
  • Understand State and Local election laws and requirements as they relate to the tabulation for Minnesota, North Dakota, and South Dakota.
  • Prepare the programming files necessary for conducting the audio and tabulation programming
  • Assist in the audio and tabulation programming
  • Provide status updates to Election Services team
  • Responsible for the assembly and inventory management of the OmniBallot tablet products; working with temporary staff to assemble; applying and scanning asset tags; testing and QA of each unit.
  • Responsible for fulfilling the OmniBallot tablet orders and coordinating with the shipping logistics the deliveries.
  • Manage projects assigned by VP of Election Services, as directed.
  • Maintaining, improving, and implementing organizational procedures.


Required Knowledge and Experience

Excellent communication, comprehension and organizational skills are essential to appropriately interpret instructions. Interaction with Election Services team is a key component of the position. Background using Microsoft Office products including Outlook, Excel, PowerPoint, and Word; and technology savvy. He/she must possess high quality standards, mature judgement, and strong organizational work habits. This position requires mandatory security training as well as background/drug screen/credit check.

Preferred Education/Training and Systems

An Associate Degree in computer technology, Business, Graphics or related field or a High School diploma/GED along with the equivalent workforce experience and training.

Physical duties

Continuous periods of sitting at workstation with small motor movements (typing, grasping, mouse, writing). Long periods looking a computer monitor. Regular lifting of 2-10 lbs. and occasional lifting up to 25 lbs. in preparing jobs, sorting jobs in totes, and moving ballot reading equipment.
