The Sales Operations Specialist works directly with the Commercial team(s), supporting the sales process with activities including order processing/entry, preparing deal proposals and price quotes, RFP response, and data reporting & analysis. This role is vital for helping sales team members with operational and administrative tasks to pull deals through the sales funnel and manage ongoing customer contracts (i.e., change orders). Through report review, CRM data hygiene, and internal and external communication tools, the Sales Operations Specialist supports deals from initial referral to implementation, including facilitating signed documents and other materials necessary to close the order. Individuals in this role have at least two years of administrative support experience and proficiency in at least one CRM and Microsoft Office applications.

Responsibilities:

  • Maximize selling time by providing support to the commercial teams through post-sales deployment, including sales information management, account set-up, onboarding, billing, and reporting for strategic accounts
  • Prepare and send contracts, proposals and quotes
  • Ensure a smooth handoff to Operations for onboarding. Liaise with operations team regarding customer placements, availability, and maximizing revenue.
  • Provide customer service by staying on top of pending orders and customer requests. Help troubleshoot problems with customer orders, customer accounts and other related issues.
  • Guide Sales in entering accurate pipeline and forecast data in CRM tool, generate reports for forecast and weekly/monthly reports
  • Support team with ensuring the integrity and quality of data in HubSpot CRM
  • Monitor sales performance through sales tracking tools and report progress to sales representatives
  • Identify and keep up with sales trends
  • Identify where improvement is needed in sales practices and make suggestions for improvements and assist with implementation
  • Other tasks and projects as assigned by Manager

Qualifications:

  • 2+ years IT or high-tech industry experience supporting sales teams
  • Knowledge of sales practices and the most efficient customer service techniques
  • Ability to interpret sales metrics and perform data entry
  • Working knowledge of customer relationship management software and data analysis (like HubSpot or Salesforce), and Microsoft Office suite
  • Experience in both outbound and inbound sales processes
