Engineering Administrative Assistant

The Engineering Administrative Assist will perform a variety of administrative duties to assist Project Managers in the performance of their duties. The position is also responsible for assisting in the administration and implementation of all Engineering related policies, procedures and functions.

Responsibilities: Including but not limited to:

  • Screen, arrange and maintain record of appointments
  • Arrange travel and hotel reservations for engineering team
  • Compile and prepare special reports selecting data from various sources
  • Perform other administrative duties and assignments where trust and accuracy are involved
  • Expense report tabulations and monitoring for Engineering
  • Long term documentation coordinator
  • Compilation and distribution of the Engineering meeting minutes and Project schedules
  • Maintenance of the Engineering Department’s files, including individual project files, departmental processes, and procedures
  • Assist in the administration and development of a common vendor list
  • Perform back-up Receptionist responsibilities; i.e., covering the switchboard during breaks, lunch and absence of the Receptionist
  • Assist in bid preparation to include bid preparation, submitting and tracking, client interaction and prequalification process
  • Invoice processing/review: schedule of values, lien waivers (partial and final), pay applications, certificates of insurance
  • Contract management to include general document handling, retainage tracking, processing change orders (additive and deductive)
  • Site photo management, e.g., sorting, filing on server and project files
  • Database management
  • iSqFt research (mining for project leads, connecting to bid preparation.
  • Plan Grid: General management, adding and removing project information.
  • Marketing support
  • Coordinate outside rental equipment, materials and supplies procurement and general construction projects

Job Requirements/Qualifications:

  • Two years of applicable experience and/or Associate Degree in Business Administration
  • Software experience: AUTOCAD experience and SAGE are extremely helpful, Microsoft Office Suite, Adobe Acrobat
  • Familiar with process flow and an understanding of interpreting engineering drawings
  • Excellent verbal and written communication skills
  • Ability to function independently with little or no verbal instruction; attention to detail
  • Must have high organizational skills
