The AP Manager will be responsible for a team of accounts payable specialists who ensure invoice entry, coding, posting and payments are accurate and timely. Ensure that the Disbursements team follows all Company policies and procedures surrounding the disbursement process. Support the operations group by accurately recording payables and disbursing funds on a timely basis. Build and maintain a scalable disbursement function.

Responsibilities

  • Establish and integrate payment distributions
  • Incorporate the master file maintenance of dealer payments into the accounting function
  • Establish procedures and segregation of responsibilities around vendor maintenance
  • Maintain compliance with 1099 reporting requirements
  • Where appropriate, work with vendors and internal employees to incorporate consolidated bill processing
  • Work with internal audit to develop, monitor, and implement a disbursement approval matrix
  • Initiate an imaging workflow and file retention process for disbursement routing and records
  • Integrate wire, EFT, and ACH disbursements made through Treasury into Workday ERP system
  • Evaluate and improve disbursement function efficiency through the use of technology or improved workflow
  • Document relevant policies / procedures around the disbursements process. Keep updated
  • Provide direction to staff along with written procedures and policies in adherence to company guidelines
  • Train and motivate staff along with addressing performance issues
  • Manage month end close and monitor the aged payables
  • Prepare daily / monthly cash spend reports for management
  • Perform other tasks as assigned

Qualifications

  • Bachelor’s degree or relevant work experience in Accounts Payable or Procurement
  • 2+ years ERP system experience
  • 10+ years relevant experience
  • Supervisory / management experience in high volume accounts payable environment
  • Software – proficiency with Microsoft office (especially Excel), databases and communication with programmers, accounting software, reporting systems, imaging systems.
  • Communication Skills – Ability to communicate effectively, professionally, and calmly with all staff, vendors, customers and all levels of employees in the organization.
  • Practical, results-oriented team builder with superior analytical, project management, and problem-solving skills
  • Possess a strong work ethic, hands-on, and be enthused about working in a collaborative team environment
  • Must be comfortable interacting and working with the senior leadership team
  • Have the initiative to get results
