Reporting to the Manager of Human Resources, this position is responsible for the following tasks:
Efficiently prepare and maintain accurate confidential employee personnel records and HR Dept. files to ensure security, accuracy, and availability:
- Maintain employee database in Human Resources Information System and coordinate process with Payroll as required
- Prepare, process & maintain all designated employment documents/files, both active and non-active
- Process and maintain employee ID database and photos
- Maintain organized department files
- Process change of status requests in system and communicate timely with Payroll as required
Support Human Resources Information System users to ensure availability of information:
- Generate and maintain Human Resources Information System reporting to provide requested data in a timely and accurate manner
- Act as liaison between ADP and Human Resources team
- Assist employees with ADP user questions, password resets, & reporting of issues
- Participate with Training Dept. in writing and revision of user job aids for ADP
- Document, track, and monitor employee and/or system issues to ensure resolution in a timely manner
- Run annual reports for Affirmative Action, Veteran Status, EEOC, and all compliance needs
Provide HR Dept. accurate/timely coordination and administrative support in a confidential manner:
- Provide administrative support to VP of HR, Manager of HR, and HR Department staff
- Process department invoices and maintains meeting costs
- Coordinate and administer temporary staffing needs in accordance with the approved procedure
- Process external inquiries for employment verification, mortgage applications, employee garnishments and other employee-related documents
- Assist with and coordinate projects and HR events as needed
Assist with the recruitment and onboarding of new employees:
- Assist Corporate Recruiter with the hiring process
- Assist Corporate Recruiter with coordinating new employee activities
- Order/track/distribute new hire welcome gifts, business cards, and nameplates
- Set up and send to managers new hire welcome packets
- Provide backup assistance to the Corporate Recruiter as needed
Qualifications:
- Previous Human Resources experience or related degree preferred
- Previous experience with an HRIS and ATS preferred
- Ability to maintain a professional presence and high level of confidentiality
- Highly proficient in computer software, including Microsoft Word, Excel, & Outlook
- Highly organized with the ability to multitask be competent in a fast-paced environment
- Strong interpersonal and organizational skills
