Office Administrator

You will:

  • Process new hire applications emailed or faxed by clients, which includes extensive data entry of employee’s personal information, job title, pay rate, contact information, etc.
  • Perform changes in employee and payroll files, such as processing terminations/separations and pay rate changes, position changes
  • Save all applications – online and sent by client – into corresponding folders
  • Audit applications and I9’s for mistakes
  • Run background checks per client policy
  • Complete Employer section and process Form I-9’s in a timely manner, verify employment eligibility status though E-Verify
  • Completion of Verification of Employment requests
  • Follow up with clients when application pieces are missing, or when I9 documents have not been collected
  • Greet visitors, prepare conference room for meetings
  • Assist clients and new employees in the online on-boarding process for new hires, or to log in into the employee portal
  • Update Company Notes spreadsheet with new information, such as payroll processing and application procedures
  • When processing separations, send out termination notices for garnishments or child support orders
  • Perform demo of online onboarding system with new and existing client managers
  • Create custom forms for client policies to add to their online onboarding applications
  • Handle monthly new hire reports
  • When the need arises, assist HR Manager with unemployment forms
  • Complete Bureau of Labor Statistics’ monthly or quarterly reporting
