We’re hiring an Executive Admin to serve as a trusted right hand to our Executive Leadership Team in Boise. This role blends the precision of a seasoned Executive Assistant with the foresight and agility of a Chief of Staff—supporting priorities across operations, business development, and team alignment.

You’ll work side-by-side with the CEO, COO, and other senior leaders to optimize time, drive clarity, and keep the wheels of leadership turning smoothly. This is a role for someone who anticipates needs, communicates clearly, and thrives in a fast-paced, mission-driven environment.

What You’ll Own

  • Calendar + Communication Flow

    • Manage complex schedules and coordinate internal and external meetings with intention.

    • Act as a communication liaison—screening requests, preparing responses, and maintaining alignment across stakeholders.

    • Prepare internal communications, executive correspondence, announcements, and briefing materials.

  • Travel + Logistics

    • Plan and coordinate domestic travel for executive leaders, including booking, itineraries, and accommodations.

    • Anticipate needs and troubleshoot proactively to ensure smooth travel experiences.

  • Project + Meeting Support

    • Prepare materials for key meetings—agendas, presentations, documents, and talking points.

    • Take notes, track follow-ups, and ensure next steps are executed with clarity and accountability.

    • Support high-priority initiatives through research, document preparation, and cross-functional coordination.

  • Executive Enablement

    • Maintain and manage professional credentials, memberships, and registrations.

    • Register leadership team for industry events, conferences, and forums.

    • Help manage time and energy with a proactive approach to deadlines, milestones, and follow-through.

  • Team + Studio Support

    • Provide leadership guidance to administrative staff supporting individual departments or studios.

    • Foster a sense of calm and coordination within a high-functioning leadership culture.

What You Bring

  • 10+ years of experience in executive support or operational coordination roles.

  • A reputation for discretion, trustworthiness, and impeccable follow-through.

  • Mastery of Microsoft Office and ability to draft clear, thoughtful written communication.

  • Exceptional organization, time management, and prioritization skills.

  • A high EQ—able to navigate confidential matters, interpersonal dynamics, and shifting priorities with ease.

Preferred, Not Required

  • Familiarity with architecture, engineering, or design-based environments.

  • Experience supporting a multi-functional leadership team or participating in strategic initiatives.

  • Comfort juggling detail-oriented tasks with broader operational priorities.
