Our client is a private holding company that owns nine different operating businesses. The group of companies is active in both Canada and the United States and has been operating from its Alberta home base for over 80 years. Through a network of affiliated and subsidiary companies, they provide a variety of business solutions and services, with a focus upon manufacturing and product distribution.

As the central holding company they provide executive leadership and supportive administrative services to the nine “subsidiaries”; this includes support for: corporate governance; legal; accounting; financial; human resources; payroll; systems development and management generally; and information technology.

Due to an internal promotion they are looking for a Payroll & Benefits Coordinator to join their team. Reporting directly to the Human Resources Administrator and reports indirectly to the VP of Finance. This role has no supervisory or managerial authority and no direct reports.

In this role you will be responsible for the accurate and timely processing of multiple payrolls by performing a variety of functions such as ensuring deadlines are met, that processes follow established payroll procedures, and appropriate internal controls are met. This position requires an individual who is friendly and well organized and portrays professional judgement as duties access sensitive and confidential data.

 

Role Accountabilities

  • Prepare 10 Canadian and 3 U.S. payrolls for 350+ employees in an accurate and timely manner.
  • Responsible for all payroll data to be entered and submitted for payroll processing on time, including new hires, terminations, salary, position & status changes, etc.
  • Process and submit required payroll reports, including records of employment (ROE) and T4 documents.
  • Maintain confidential information by adhering to legal and ethical standards.
  • Resolve payroll inquiries.

Specific Tasks

  • Payroll processing using ADP Workforce Now (WFN) which includes data entry and processing of the full cycle payroll including hourly, salary, and US bi-weekly and semi-monthly payrolls.
  • Collaborate with managers in each business to ensure all time worked and exception time is entered accurately within payroll cut-off timelines.
  • Maintain the accuracy and completeness of all payroll related data within ADP WFN for all time and attendance and personnel transactions such as new hires, terminations, leaves of absence, benefits deductions and garnishments.
  • Benefits administration, including tracking benefit eligibility, processing enrollments, terminations, and employee changes for all company programs including group benefits, HCSA, RRSP, WCB, sick days, etc.
  • Complete statutory government year end reconciliations and tax form preparation (T4s, WCB, WSIB, etc.)
  • Produce monthly and quarterly reporting for WSIB, EHT, and Workforce B.C.
  • Train employees and managers in WFN. (Time keeping, vacation tracking, approval accessing pay stubs, etc.)
  • Document, update, and maintain workflow and payroll processes and procedures; offer suggestions for process improvements.
  • Investigate and resolve payroll errors.

Skills and Attributes that will lead to your success in the role:

  • Two years (or more) full cycle Payroll experience
  • A Bachelor’s degree in a related field or a diploma/certificate from a recognized post-secondary institution.
  • Experience using ADP Workforce Now.
  • A Payroll Compliance Practitioner (PCP) certification or are currently working towards one.
  • Demonstrated strong work ethic with the ability to pay close attention to details, produce accurate and timely results, stellar organizational and time management skills.
  • Ability to work effectively in a fast-paced environment.
  • A knack for effectively prioritizing, and juggling competing and time-sensitive requests.
  • Effective communication when responding to, and successfully addressing, a wide variety of employee inquiries, circumstances, problems, and opportunities. (High level of emotional intelligence)
  • Fluent in English.
  • Able to work effectively and productively without close supervision
  • Skilled in problem solving, with a flare for critical thinking.
  • Proficient with computers generally, in particular Microsoft Office.
  • If you ALSO have experience working with multiple companies or divisions, that would be a HUGE added bonus.

  • This position may require occasional after-hours support to employees.
  • This position requires access to a personal vehicle that may be occasionally used for business purposes.
