We are currently expanding our team and are looking for an experienced Administrative Assistant.

Responsibilities and Expectations:

  • Reviewing, sorting, drafting, proofing, and finalizing client deliverables, including e-filing tax returns and slips.
  • Managing multiple partner calendars, organizing appointments, and confirming schedules.
  • Answering phones, greeting clients, and providing assistance at reception.
  • Collate, print & file necessary tax returns and packages as necessary.
  • Composing business letters, photocopying, scanning, and filing documents as needed.
  • Develop a thorough understanding of internal programs, processes and ensure the office is organized.
  • Be able to create various invoices by using QuickBooks and Ignition
  • Create new incorporations and ensure annual follow-up of those incorporations.
  • Collecting payments as necessary
  • Contribute to the development of new ideas and approaches to improve work processes.
  • Work collaboratively with other team members and leadership.
  • Maintain flexibility to work overtime, as necessary (mainly during the tax season).

Education, Qualifications and Attributes:

  • Completion of related post-secondary education in administration is an asset.
  • Understanding and experience with QuickBooks is an asset.
  • 1-2 years of related administrative experience in a corporate/professional environment is required.
  • Strong computer literacy, including Microsoft Office Suite and Outlook proficiency.
  • Experience handling multiple phone lines and transferring calls with ease.
  • Previous experience with Caseware, Caseview, and Taxcycle is considered an asset.
  • Excellent communication skills, both written and verbal.
  • Outstanding organizational and time management abilities.
  • The ability to work in a diverse team environment.
  • Strong multitasking skills.
  • The ability to work under pressure and meet key deadlines.
  • Independent and self-starting but knows when to ask important questions or receive clarity.
  • The ability to handle multiple priorities at a time.

Schedule: Full-time, Permanent

Pay: From $40,000.00 per year, contingent on experience
