Executive Assistant to COO and Portfolio Manager

Growing Asset Management firm seeking an Executive Assistant to support their Chief Operating Officer and Portfolio Manager in NYC office.


  • Maintain calendar and handle scheduling of all meetings and appointments
  • Arrange heavy travel needs through internal travel department and create complete travel itineraries for all trips - both international and domestic
  • Process all expenses
  • Answer phones and retrieve voicemails daily
  • Responsible for managing all business correspondence
  • Manage business contacts by updating/adding to contact database
  • Organize and arrange both onsite and offsite meetings and other event planning duties
  • Handle office management duties, including supply inventory and purchasing, guest registration and facilitating maintenance requests with building management
  • Manage, organize and maintain accurate files
  • Act as liaison between Executive and business colleagues
  • Perform other duties as assigned


  • Experienced professional with a minimum of 10 years of experience supporting a senior level executive, preferably with both executive assistant and personal assistant experience
  • Experience with heavy travel coordination, both international and domestic, and calendar management
  • Excellent English, grammar, written and oral communication skills
  • Proven record of successful problem solving
  • Superior organizational skills and record-keeping, and strong attention to detail
  • Excellent interpersonal skills, positive attitude and high energy level
  • Requires some flexibility with work schedule
  • Adaptable, flexible to changes and the ability to work in a fast-paced environment
  • Proficiency in Microsoft Windows, Excel, PowerPoint, and related software
  • Bachelor's degree required

Compensation: $100-$125k, plus bonus
