JOB DESCRIPTION: Administrative Assistant

REPORTS TO: Partners and Principal


Our client is a seed-to-growth venture capital firm that partners with exceptional entrepreneurs to build the world’s most transformative companies. They have made made over 200 investments across the tech sector.


The Administrative Assistant is responsible for providing assistance to two Partners, and a Principal. This role involves heavy scheduling and calendar management, domestic and international travel, liaising with portfolio companies, expense reporting, and ad hoc projects as required. This position will work independently and in coordination with the broader Administration Team. Role involves scheduling and personal work.


• Manage heavy, and sometimes complex schedules and coordinates involving internal and external parties;

booking conference rooms; booking restaurants or other venues; setting up conference calls and

videoconferences; sending reminders, confirming attendance, flagging and resolving any conflicts

• Coordinate and schedule board meetings with portfolio companies, internal and external business

meetings, and other ad hoc meetings

• Plan and arrange domestic and international travel; arrange visas and passports when needed; book

accommodations and car services; prepare itineraries; provide advance briefing on trips to ensure executives’

full knowledge and understanding of the schedule

• Compile and keep accurate records for travel and other expenses; create and submit monthly expense

reports on a timely basis

• Create documents and correspondence as required; maintain databases to keep records up to date in

Outlook, Dropbox and other databases

• Understand, develop and foster key executive relationships as well as their offices as it may relate to the

Partners’ portfolio companies

• Provide rotation coverage for front desk and provide backup support to the broader administrative team

during busy periods and vacations

• Lend a hand at company events and contribute to team efforts as a whole


• 2-4 years of AA experience with C-suite teams, ideally in the Finance industry

• Advanced Microsoft Office skills required with emphasis on Outlook and Excel. Experience with inbox

management will be helpful to enable partners to set up systems and leverage rules and automation (in

Outlook) to assist with the prioritization of large volume of messages
