BENEFITS MANAGER – San Mateo, CA

The Benefits Manager will be responsible for managing and administering corporate benefit programs and collaborating with colleagues in Human Resources on initiatives and projects. This position will interact with internal clients across the organization and will serve as the subject matter expert in employee benefits. The ideal candidate must have strong knowledge and experience in managing company-wide benefit and wellness programs.

This is a full-time, direct hire position reporting to the VP of Total Rewards.

RESPONSIBILITIES:

  1. Provide leadership, motivation, direction and support direct reports
  2. Manage and administer company benefit program, including health and welfare insurance plans, 401(k), wellness programs, HAS, FSA, PTO, perks and other benefits.
  3. Lead the annual benefit renewal cycle. Partner with broker and vendors to gather pertinent data and market updates, provide input, prepare analyses, and evaluate benefits against peers to assist in the decision-making process and selection of benefit plans and providers
  4. Manage all aspects of the annual open enrollment cycle; oversee the benefit fair and education sessions for all employee benefit programs
  5. Manage wellness initiatives and the Ergonomic Program; make recommendations and implement any enhancements for new/ongoing initiatives as necessary
  6. Develop effective benefit communication strategies and materials and issue them in a timely and well-organized manner
  7. Administer Leaves of Absence and related paperwork in compliance with applicable federal, state and local law
  8. Coordinate with brokers, carriers and legal counsel to ensure benefit plan documents are up to date and compliant
  9. Ensure that required benefit plan testing, notices, documents and filings are completed and delivered accurately and timely
  10. Ensure employees benefit inquiries and claims are handled efficiently
  11. Ensure benefit administration system is maintained accurately and provide input in system evaluation and selection; participate in any system testing, audits, reconciliations, updates and implementation, as necessary
  12. Manage Workers Compensation claims
  13. Stay abreast of HR employment laws, requirements, and best practices
  14. Work with the HR Team on projects and initiatives
  15. Benefit integration and education due to acquisitions
  16. Assure corporate compliance with laws and regulations governing employer-sponsored health and insurance benefit plans such as ERISAA, HIPAA, Affordable Care Act (ACA), etc. Review state and federal laws pertaining to company benefit plans, analyze impact of any changes, and provide recommendations to management
  17. Related responsibilities include but are not limited to:
  • ACA Employer Shared Responsibility activities
  • Various required notices to retiree populations (such as Medicare notices)
  • HIPAA workforce compliance with training, documentation and notices
  • Health Care ordinances in various U.S. locations and the associated reporting
  • Annual non-discrimination testing
  • 5500 audits and filings
  • Manage the day to day relationships with key suppliers and outside consultants
  • Evaluate the financial performance of the health plans and identify key cost drivers using data analytics and leveraging the data warehouse
  • Oversee invoice allocation reconciliation and payments process; bring innovative ideas to management to streamline and automate internal operations
  • Provide support for ad hoc analyses and other projects, as needed

REQUIREMENTS:

  • Bachelor’s Degree from an accredited college or university
  • 7+ years’ experience managing employee benefit programs
  • CBP or CEBS certification preferred
  • Excellent organizational, project management, prioritization and time management skills
  • Exercises good judgment, maintains strict confidentiality and adheres to high standard of professional of conduct
  • Self-motivated; works well independently and in a team environment
  • Thorough with high level of accuracy
  • Strong software skills including MS Office (Outlook, Word, Excel, PowerPoint)
  • Excellent written and verbal communication skills with a strong customer orientation
  • Prior experience managing a team
