Administrative Assistant (San Francisco)

We are hiring an Administrative Assistant for our hedge fund client in San Francisco.

This is a full-time, direct-hire opportunity in a small, yet growing, satellite office. The ideal candidate will have several years of administrative experience, an excellent work ethic and will thrive as a self-starter in a small office environment!


  • Provide general administrative and Receptionist support, supporting Analysts and Office Manager, as needed
  • Assist with facilities and general office services duties
  • Assist with expense reports, travel arrangements and itineraries
  • Coordinate meetings, conference room calendar, liaising with offices globally
  • Receptionist responsibilities include: greeting and directing visitors, covering phones and handling inbound/outbound mail and deliveries
  • Facilitate conference room set-up/breakdown and meal ordering
  • Assist in keeping kitchen and mailroom organized and stocked with supplies
  • Assist, as needed, with other ad-hoc projects
  • Provide back-up support to Office Manager when out of the office


  • Minimum of 3 years of administrative support, reception and/or office services experience
  • Solid computer and internet skills including proficiency in Word, Excel, Outlook and PowerPoint
  • Strong attention to detail and organizational skills
  • Adaptable to various competing demands while maintaining a high level of client service and response
  • Reliable and flexible
  • Highly professional with exceptional written and verbal communication skills
  • Strategic thinker with initiative who proactively seeks out internal resources and proposes solutions
  • Team-focused with a demonstrated interest and ability to work collaboratively with others, with the ability to also be extremely effective independently
  • Prior experience in a small office environment, a plus
