ABA Administrative Assistant

An ABA (Applied Behavior Analysis) therapy administration is seeking an experienced and highly organized Administrative Assistant with a strong background in ABA administration.

The ideal candidate will have prior experience working in an ABA therapy setting, ole requires an individual who is detail-oriented, familiar with ABA-specific documentation and scheduling, and capable of supporting the team of therapists and families with the highest level of professionalism and efficiency.

Responsibilities:

  • Coordinate and schedule therapy sessions for clients, including therapist availability, cancellations, and rescheduling, ensuring optimal use of time and resources.
  • Maintain and update client files, therapy progress notes, and other confidential documents in compliance with HIPAA and ABA industry standards.
  • Assist with insurance verification, billing, and processing claims. Work with families and insurance providers to resolve any issues related to coverage and payments.
  • Act as a liaison between therapists, clients, and families, answering inquiries, providing necessary information, and ensuring smooth communication between all parties.
Skills required:
  • Ability to handle complex administrative tasks with accuracy, ensuring all client records and billing information are correct and up-to-date.
  • Excellent verbal and written communication skills to effectively interact with therapists, clients, families, and insurance providers.
  • Ability to multitask and prioritize effectively in a fast-paced environment, managing multiple schedules, appointments, and tasks simultaneously.
  • Strong critical thinking and problem-solving skills, especially when dealing with client issues, insurance challenges, or operational inefficiencies.
Requirements:
  • Minimum of 2-3 years of experience as an administrative assistant in an ABA therapy or related behavioral health setting.
  • Strong understanding of ABA practices and industry standards, including documentation and progress note management.
  • Knowledge of HIPAA regulations and the ability to maintain confidentiality in handling sensitive client information.
