Operations Manager

A fast-paced company specializing in permitting, inspections, and compliance support for the construction industry is seeking a detail-oriented and proactive Operations Manager to oversee daily business functions, coordinate projects, manage client communications, and streamline internal processes.

This role is crucial to ensuring that permits are processed on time, inspections are scheduled efficiently, and client service is seamless from start to finish.

Responsibilities:

  • Oversee and track permit applications, inspection scheduling, and compliance documentation across multiple client projects.
  • Maintain smooth day-to-day operations, including office administration, vendor relations, and team coordination.
  • Serve as the main point of contact for clients, city agencies, and field inspectors; ensure timely updates and professional communication.
  • Identify and implement improvements to internal systems to increase efficiency and maintain up-to-date compliance with city/regional requirements.
Skills:
  • Demonstrated ability to manage multiple deadlines, projects, and client accounts simultaneously while maintaining accuracy and attention to detail.
  • Professional verbal and written communication skills; comfortable interacting with government agencies and clients.
  • Ability to troubleshoot delays, paperwork issues, or permit-related problems proactively.
  • Comfortable using digital tools for project tracking, document management, and email/calendar systems (e.g., Google Workspace, CRM tools).
Requirements:
  • 3+ years in operations, office management, or project coordination (preferably in construction, permitting, or a related field).
  • Familiarity with permitting processes, building codes, or municipal agencies is a strong plus.
  • Highly reliable, deadline-driven, and comfortable in a fast-paced environment.
