Job Description: Project Manager (PM)


Manage the production department activities associated with High End residential client installations. Will be responsible for client installations and client management while adhering to Core Values. Providing efficient installations, team management, and upholding client satisfactions, adhering to company standards and achieving and exceeding established financial metrics.

  1. Deliver monthly and yearly reports that are accurate.
    • Complete monthly project projection sheets with Project Coordinator. Completed sheet to be emailed out to General Manager by the 26th of each month.
    • Tracking meeting held each week with Crew Leaders
    • Project department meeting held each week with Project Coordinator and General Manager
    • Assist in building financial plan for the department with Project Coordinator and General Manager.
    • Ensure all information in production management software for each job is accurate
  2. Recruit two “A” players into the Organization

    • 2-3 improvement ideas reported per year
    • Previous quarter approved idea(s) implemented and reported to General Manager
    • Safety Training bi-weekly held for 30mins
    • Ensure daily huddle with Crew Leads are on time each work day at 6:50am
  1. Maintain Gross Profit Margin at or above monthly targets 90% of the time
    • Confirm via job tracking reports in management software
    • Review estimations with estimation team once per month to ensure accuracy
  2. Develop quarterly improvement ideas for your department or the organization.
  3. Quality Control
    • Review all Q/C sheets turned in from Crew Leaders, confirm they are accurate and upload to corresponding job file in management software.
    • Complete project Care Call with selling Sales representative
    • Kick off scheduled with sales rep at least 2 weeks before the job start
    • Client signature obtained at final walk on Q/C sheet and final payment collected)
    • Irrigation map for each job turned in from field with q/c sheet
    • Client communication daily
  4. Review, Create and roll out all Project Department SOP’s
    • Review at least 1 SOP each quarter and identify possible improvement or simplification ideas(s). Submit to General Manager and implement
    • 100 % compliance with Project / Company SOP’s
  5. Yearly Growth plan developed for you and your team
  • Coaching plan and goals in Clear Company
  • Growth plan for yourself turned in second week of January each year


    Organization and Policy Making:

    Determine responsibilities within the project team by the use of organization charts, role descriptions, and by coaching the individuals concerned to understand the importance of their performance. Mutually develop position objectives with the employees of the Project Department and establish a means of measurement. Promote understanding and compliance within the Project team of all company procedures and policies. Establish and improve Project department procedures and policies, consistent with Company procedures and policies.


    Provide to the General Manager information to develop income, expense, and capital budgets for the Project Dept.


    Recommend to the General Manager compensation levels for the Project team. Establish a definitive plan of personnel to be trained and the type of training methods to be used to execute the plan. Continually appraise the performance of Project team by using the companies performance management system. Compare actual performance with established standards and written objectives for their positions, utilizing objectives and performance review meetings to coach each individual on their performance. Maintain personnel files.

    Accounts Receivables:

    Confirm each job is being completed at our below hours. Educate the team on the (O.H.I.O) Only handle It Once method and not numerous times. Follow up with Office team twice per month that all project receivables have been paid.


    Data Processing:

    Manage the data processing function. Assure that all data is processed accurately and within agreed upon schedules. Maintain a cooperative atmosphere with Sales and Operations to assure all data required by the Business Systems Department is accurate and timely. Provide training to improve areas that need further development.

    Internal Relations:

    Build and maintain rapport and positive working relations with all intercompany, intra-affiliate staff to resolve problems, exploit opportunities and maximize profit. Coordinate with all departments to assure proper and timely flow of data to the Business Systems Department.

    External Relations:

    Build rapport and productive working relationships with customers, vendors and other outside agents. Effectively represent company’s interest to outside agents to maximize profits.

    Cash Flow:

    Monitor all billing to assure maximum cash flow. Expedite payments as necessary. Train, direct and evaluate staff in cash flow functions.


    Train, direct and evaluate staff in the preparation of prompt, clear, concise and complete documentation and paperwork. Provide the proper usage of the CRM and management software process.

    Expense Control:

    Develop and assure compliance with approved budget.

    Time Management:

    Follow time management practices using various tools to ensure proper scheduling of tasks and meetings. Train, direct and evaluate staff in time management when necessary.

    Continuous Recruitment:

    Continually build and maintain a network of contacts for current internal needs and upcoming projected openings. Efficient use of Clear Company to track potential recruits and sources.

    Special Projects:

    Provide support for any special projects as assigned by your manager. These special projects, at the determination of your manager, may or may not become part of this role description.
