About the Role

The Accounts Payable Coordinator will own and manage the entire Accounts Payable function—from invoice intake, and validation to payment execution and reconciliation. You’ll play a key role in maintaining financial compliance, vendor relations, and reporting accuracy. This is a remote position with flexible hours, ideal for experienced professionals looking to stay active, engaged, and valued without committing to a full-time role.

Key Responsibilities

  • Manage end-to-end accounts payable operations
  • Ensure timely and accurate invoice processing and vendor payments
  • Import credit card charges, create and assign rules to charges in the correct expense accounts, and perform reconciliation
  • Maintain and reconcile AP/accounts payable ledger, ensuring accuracy and integrity
  • Resolve discrepancies with vendors and credit card charges.
  • Implement a strategic payments system to reduce credit card interest and accelerate debt payoff using these methods:
  • Pay more than the minimum
  • Make multiple payments
  • Target high-interest debt first (Avalanche Method)
  • Consider balance transfers
  • Negotiate a lower interest rate
  • Debt consolidation
  • Creation of a budget
  • Negotiate favorable payment terms with vendors
  • Identifies unfavorable or unnecessary operating expenses to reduce overall costs.
  • Identify inefficiencies and drive process improvements or automation to reduce overall expenses
  • Prepare monthly AP/accounts payable reports and contribute to financial closings
  • Compiles the accounts payable (AP) forecasting report weekly, monthly, and yearly to predict future cash outflows, assisting in financial planning to prevent cash flow issues by employing various methods such as:
  • Analyzing past data to anticipate future costs
  • Direct: Based on expected invoices.
  • Indirect: Use cash flow and seasonal trends.
  • Percent of Sales: Payables as a percentage of Sales.
  • Regression: Analyze relationships with other variables.
  • Days Payable Outstanding (DPO): Average payment days.
  • Optimize payment schedules for better cash flow management

    Qualifications

  • Bachelor’s degree in Accounting, Finance, or other related field preferred.
  • 5+ years of experience in Accounts Payable or a similar finance role
  • Strong knowledge of GAAP and financial controls
  • Advanced Excel skills and proficiency in QuickBooks (Desktop or Online) required
  • CPA or CMA preferred (not required)
  • Excellent organizational, analytical, and problem-solving abilities
  • Self-motivated, deadline-driven, and detail-oriented
  • Effective communicator with a collaborative mindset
