Beauty Quest Group is a newly formed organization that is a spin-off of the professional products division of a large beauty and haircare products company. We are a mid-size organization that is growing. We are building our shared services team and this is a key role that will partner with accounting and human resources to develop strong operational practices and contribute to our new company work environment and success.
The Payroll Manager role is responsible for managing pay practices and systems for our US National and Canadian payrolls. This role requires expertise in both regions and will be focused primarily on vendor management, system administration, payroll processing oversight, accounting reporting, tax compliance, payroll compliance and employee service & communication.
This is a part-time position with flexible work hours and is anticipated to require 15-20 hours per week. This position offers a flexible work location, working remotely from a home office with 2-4 visits per year to the company headquarters in Stamford CT to work with the accounting and human resources team. This position will report to the Controller and the accounting team to ensure strong controls and will partner with the Human Resources Director to support a strong employee service approach.

Manage national payroll processed by ADP Workforce Now comprehensive services with ultimate responsibility for weekly and bi-weekly U.S. payroll, tax filing, regulatory compliance, accounting interface and reporting, and employee service.
Process Canadian payroll through service provider and ensure regulatory compliance, tax filing, and employees service.
Act as the primary information resource and consultant to Accounting/Finance and HR colleagues.
Ensure controls, policies and procedures, and employee communications are in place for the payroll function.
Manage payroll vendor and interface with vendor service team to ensure a strong payroll operations and excellent employee service.
Communicate with accounting team regarding payroll forecasting and funding.
Payroll Oversight and System Administration
Oversee weekly non-exempt and bi-weekly exempt payrolls for U.S. and monthly payroll for one Canadian employee
Ensure accurate processing of payroll deductions and garnishments
Serve as system administrator for ADP Workforce Now for payroll and HR system design and utilization.
Manage GL interface and process GL upload into ERP system
Liaison with Accounting and Finance team members to ensure accurate reporting
Oversee tax reporting; federal, state, local and specialized
Manage payroll set-up of Workers Compensation
Ensure year end processes including adjustment payroll and W2’s are processed accurately and communicate with employees.
Maintain payroll files, records, and systems.
Develop SOP’s for all processes to ensure stability of payroll processing and support audits.
Respond to employee inquiries.
Facilitate new employee onboarding for timekeeping and payroll
Communicate with agencies, management, and employees as needed regarding federal and state regulations; pay dates, FLSA job categories, etc..
Draft and distribute employee notifications; relevant dates, changes, etc..
