Position: Full-Time Executive Assistant / Personal Assistant
Location: Torrance, CA / Palos Verdes, CA

A UHNW couple based in Rancho Palos Verdes is seeking a polished, proactive, and highly organized Executive Assistant / Personal Assistant to serve as their right hand. This is a dynamic, multifaceted role supporting a busy, older couple who travel frequently. The ideal candidate will be a true problem-solver and self-starter with a service-oriented mindset and the ability to manage both personal and business-related responsibilities with discretion and professionalism.”
Key Responsibilities:
Personal/Property Management:
- Serve as a gatekeeper and liaison for the principals, ensuring smooth communication with staff, vendors, family, and professional contacts
- Manage calendars, appointments, and complex travel arrangements (including private jet, commercial flights, and private cruise residence)
- Oversee the day-to-day operations of the Palos Verdes residence and vacation homes, including property maintenance, vendor management, and scheduling repairs or services
- Maintain household inventories, manage budgets, and oversee service contracts and household projects
- Coordinate vehicle care and logistics (luxury cars, etc.)
- Provide support with philanthropic efforts, including coordination related to the family’s foundation
- Handle confidential matters with utmost discretion
- Run errands, shop for household and personal items, and assist with special events as needed
Executive & Administrative Support:
- Draft, edit, and manage correspondence, reports, and presentations
- Coordinate and prepare materials for meetings, including board meetings
- Schedule and organize meetings with internal and external stakeholders
- Record meeting minutes and ensure timely follow-up on action items
- Source, screen, and coordinate interviews for open positions
- Act as liaison between the principals and community leaders
- Maintain clear, consistent communication and ensure timely resolution of key issues
- Adapt quickly to shifting priorities and exercise sound judgment in ambiguous situations
Qualifications:
- Bachelor’s Degree
- Prior experience supporting UHNW individuals or families in a hybrid EA/PA role
- Highly organized, detail-oriented, and tech-savvy
- Ability to anticipate needs and think several steps ahead
- Strong communication skills and a calm, professional demeanor
- Flexible and available to support the couple when they are home or traveling
- Valid driver’s license and clean background check required
