Locally recognized healthcare practice is seeking an experienced Medical Office Manager to join their team. The ideal candidate will be responsible for overseeing the daily operations of the office, managing staff, ensuring compliance with healthcare regulations, and optimizing patient care services. This position requires strong leadership, excellent organizational skills, and prior experience in a medical or healthcare management setting.
RESPONSIBILITIES AND DUTIES:
- Manage day-to-day operations of the medical office to ensure efficiency and quality service delivery.
- Supervise front office and administrative staff, providing coaching, scheduling, and performance evaluations.
- Oversee billing processes, collections, budgeting, and financial reporting for the practice.
- Maintain compliance with HIPAA and other healthcare regulations; safeguard patient confidentiality.
- Implement and maintain systems for scheduling, patient records, and general office workflow.
- Utilize practice management software (e.g., Eaglesoft) for scheduling, billing, and electronic records.
- Coordinate managed care contracts and acute care services to support effective patient care.
- Monitor industry changes and update office protocols accordingly.
- Conduct training sessions for staff on administrative procedures and regulatory compliance.
- Ensure a positive, patient-centered experience across all touchpoints.
- Collaborate with providers and clinical staff to support seamless patient care delivery.
- Resolve patient and staff concerns promptly and professionally.
- Prepare operational reports and recommend process improvements.
- Maintain inventory and oversee ordering of office and medical supplies.
- Perform additional duties as assigned.
REQUIREMENTS AND QUALIFICATIONS:
- High school diploma or equivalent required
- Prior experience in medical office management or a healthcare administrative leadership role.
- Strong knowledge of HIPAA regulations and healthcare administrative practices.
- Experience with financial oversight in a clinical setting.
- Proficient in medical office software; Eaglesoft experience highly preferred.
- Excellent communication, leadership, and problem-solving skills.
- Ability to multitask, delegate, and thrive in a fast-paced environment.
- Professional demeanor and ability to maintain discretion and confidentiality.
- Bilingual candidates (English/Spanish) preferred.
