A growing title and escrow services company is seeking a reliable and detail-oriented Escrow Assistant to support daily operations and ensure timely, accurate handling of real estate transactions. This role plays a key part in assisting the Escrow Officer with preparing documents, coordinating communication among all transaction parties, and ensuring compliance with industry standards. RESPONSIBILITIES AND DUTIES:

  • Open and manage escrow transaction files, ensuring all documents and information are accurately entered and organized.
  • Support the Escrow Officer in gathering, reviewing, and preparing documentation required for closing, such as title commitments, contracts, and settlement statements.
  • Coordinate communications with real estate agents, buyers, sellers, and lenders to obtain necessary documentation and provide status updates.
  • Ensure all documents are properly signed, notarized, and delivered according to transaction timelines.
  • Monitor key transaction milestones and follow up on outstanding items to avoid delays in the closing process.
  • Assist in preparing closing packages and disbursing funds under the direction of the Escrow Officer.
  • Maintain compliance with company procedures and regulatory requirements, safeguarding sensitive client and transaction data.
  • Manage internal records and ensure transaction files are complete and properly archived.
  • Address basic client and stakeholder questions and escalate more complex inquiries to the Escrow Officer.
  • Provide general administrative support such as file maintenance, scheduling, and data entry.
  • Contribute to a positive team environment and support additional escrow functions or projects as needed.

REQUIREMENTS AND QUALIFICATIONS:

  • High school diploma or equivalent required; additional coursework or certifications in real estate or title/escrow preferred.
  • Minimum of 2 years of experience in an escrow, title, or real estate support role.
  • Basic knowledge of escrow procedures, real estate documentation, and closing processes.
  • Proficient in Microsoft Office Suite; experience with industry-specific software is a plus.
  • Exceptional attention to detail and strong organizational skills.
  • Professional and courteous communication skills, both written and verbal.
  • Ability to manage multiple priorities in a deadline-oriented environment.
  • Demonstrated discretion in handling confidential information.
  • Collaborative, adaptable, and customer-service oriented mindset.
