Document Control Specialist

SUMMARY:

The Document Control Specialist is responsible for managing and maintaining the integrity of engineering documentation within the company’s Product Data Management (PDM) system and ERP system (Epicor). This role ensures that all engineering change orders, bill of materials (BOMs), drawings, and specifications are accurately entered, reviewed, released, and maintained in accordance with company standards and procedures. The Document Control Specialist plays a critical role in maintaining document accuracy and traceability to support manufacturing, purchasing, and quality assurance functions.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

· Review and release engineering documents (drawings, BOMs, routings, specifications) into Epicor ERP and PDM in compliance with established engineering change processes.

· Ensure data integrity between PDM and Epicor systems, verifying that all documentation and item master data are accurate and up to date.

· Manage document control workflows including ECO (Engineering Change Orders), part number creation, and version control.

· Collaborate with engineering, manufacturing, supply chain, and quality teams to ensure timely and accurate release of product information.

· Maintain proper version control of engineering documents and ensure only current, approved documents are accessible to production.

· Audit ERP and PDM entries for accuracy, completeness, and compliance with document standards.

· Assist in the development, implementation, and enforcement of document control procedures and policies.

· Support the generation and distribution of controlled documents to internal stakeholders.

· Respond to document requests and provide documentation support for audits and quality inspections.

· Train users in document control procedures and systems as necessary.

· Manage and oversee the Engineering Change Order (ECO) Process

· Release Engineering documentation into Epicor

· Maintain accuracy of parts within ERP system (Epicor)

· Update master files

· Review and correct errors within the ERP system

 

Additional Skills & Qualifications:

· Proficiency in ERP systems; experience with Epicor ERP is strongly preferred.

· Familiarity with PDM systems and CAD file management (e.g., SolidWorks PDM).

· Strong attention to detail and organizational skills.

· Understanding of engineering change management and document versioning practices.

· Ability to manage multiple priorities and meet deadlines.

· Proficient in Microsoft Office Suite (Excel, Word, Outlook).

 

EDUCATION and/or EXPERIENCE:

· Associate’s or Bachelor’s degree preferred; equivalent experience may be considered.

· 2+ years of experience in a document control or data management role, preferably in an engineering or manufacturing environment.
