Executive Assistant

ECARX is seeking an experienced Executive Assistant to join our team. The Executive Assistant will be responsible for assisting in the setup of the new Stuttgart, Germany office location, overseeing the day-to-day operations of the office, ensuring that all administrative tasks are completed in a timely and efficient manner.

The Executive Assistant will be responsible for liaising with office staff, providing administrative support, and ensuring that all office operations run smoothly.

The ideal candidate will have excellent organizational and communication skills, as well as the ability to multitask and prioritize tasks. The candidate should also have experience in office management and be able to work independently.

KEY RESPONSIBILITIES:

  • Develop and implement operational processes and procedures to ensure efficiency and accuracy.
  • Monitor and analyze operational performance, identifying areas of improvement and implementing solutions.
  • Manage and maintain confidential information, including contracts, legal documents, and personnel files.
  • Manage the day-to-day operations of the office, including staff, budget, and supplies.
  • Maintain office equipment and order supplies as needed.
  • Provide administrative support to the staff.
  • Manage and maintain executive calendars, scheduling meetings and appointments as needed.
  • Arrange travel, including flights, hotels, and transportation, and prepare travel itineraries.
  • Ensure that all office policies and procedures are followed.
  • Monitor office performance and make recommendations for improvement.
  • Other duties as assigned.

QUALIFICATIONS:

  • Bachelor’s degree in business administration or related field
  • +4 years of Executive Assistant experience. 
  • Excellent organizational and communication skills
  • Ability to multitask and prioritize tasks.
  • Proficient in Microsoft Office Suite
  • Ability to work independently and as part of a team.
  • Knowledge of office policies and procedures
