Executive Assistant / Project Manager

Kingsley Gate Partners is seeking Executive Assistants / Project Managers to join their team.

POSITION SUMMARY

This Executive Assistant / Project Manager position reports directly to the Partner(s) and/or Vice President(s) for whom they were hired. The Project Manager is responsible for working closely with your team members to ensure that all project requirements, deadlines, and schedules are on track. As a Project Manager, your input to streamline our process to provide exceptional service and results to our clients, as well as drive employee satisfaction will always be welcome.

POSITION REQUIREMENTS

Scheduling

  • Maintaining a daily schedule for the Consultants, which includes internal meetings and video conference calls involving multiple time zones.
  • Scheduling interviews between Candidates and Kingsley Gate Partners.
  • Scheduling interviews between Candidates and Clients.
  • Scheduling KGP Team and Client search update meetings.
  • Coordinating travel schedules, both domestic and international. Preparing a detailed itinerary prior to departure.

Business Development & Search Execution

  • Update business development opportunities and search information on the firm’s proprietary database Galaxy.
  • Create proposals for BD efforts.
  • Preparing Letters of Engagement/documentation needed to open a search.
  • Draft search and candidate-related documents and reports for active searches.
  • Prepare and distribute weekly status reports for active searches.
  • Prepare PowerPoint presentations as needed.
  • Assist with other duties such as scanning, mailings, and meeting planning.

General

  • Prepare and submit accurate expense reports for the Partner(s) supported.
  • Serve as a central point of contact for administrative inquiries.
  • Use utmost discretion when working with confidential information.
  • Support other Kingsley Gate Partners when needed, providing timely responses to requests.
  • Assist with other Projects Managers to ensure coverage during periods of absence.

PERFORMANCE OBJECTIVES

  • Deliver consistent, high-quality work in all deliverables and work products.
  • Provide high levels of responsiveness to our Clients.
  • Exhibit high levels of collaboration and support across the organization.
  • Support other groups or units to help them achieve their plans.

REQUIREMENTS

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED FOR THE ROLE:

  • Must be able to work with little supervision, be detail-oriented, flexible in terms of hours and responsibilities, and organize multiple priorities and work deadlines.
  • Demonstrated track record of sound judgment and professional maturity.
  • High level of professionalism and ability to work with senior-level executives.
  • Knowledge of Microsoft Windows and Microsoft Office.
  • Proficiency with Microsoft PowerPoint.
  • Strong written and verbal communication.
  • A high degree of political and interpersonal savvy across varying levels of internal management, staff, clients, and associates.
  • 3-5 years of relevant work experience as an executive assistant/project coordinator in a business environment, ideally in a service firm.
  • Ability to plan complex international travel to a highly detailed level.
  • Ability to assist with expense reports on a regular ongoing basis.
