We’ve grown considerably, primarily through word of mouth, and currently manage nearly $1B in assets, with just over 20 employees. We are looking for an experienced Client Service Coordinator to join our centralized support team, helping with a variety of administrative support and client-facing duties. In addition to having a strong working knowledge of industry software, systems and processes, you are exceptionally organized, have amazing attention to detail, and are committed to delivering a smooth and confidence-inspiring experience for our clients with every interaction. Whether it’s completing paperwork and tasks, onboarding new clients, handling service requests, scheduling or preparing for meetings, you tackle it with a service heart and an accuracy and efficiency that can’t be beaten. Client Service Coordinator duties include:

  • Ensuring an outstanding client service experience for internal and external contacts
  • Completing client transaction requests (wires, ACH, IRA distributions), tracking status and to ensure accurate resolution
  • Onboarding new clients, including training on portal and online account access
  • Assisting with meeting preparation and follow up
  • Solving problems and providing accurate and timely follow up
  • Greeting clients, maintaining a welcoming and professional atmosphere
  • Scheduling client meetings and sending appointment reminders
  • Reviewing and confirming daily reporting numbers, custodial alerts, and information updates
  • Serving as a liaison for external vendors, third party authorities, and financial custodians
  • Updating and ensuring data accuracy in client database/CRM
  • Coordinating general office duties such as ordering supplies, overseeing client mailings, and maintaining office and kitchen areas
  • Training new team members as needed
  • Acting as seasonal backup and departmental liaison to the tax department
  • Assisting with departmental special projects and other duties as assigned

Client Service Coordinator qualifications include:

  • Bachelor’s degree highly preferred, or equivalent work experience
  • 3+ years of client service and operations experience in wealth management or financial planning highly preferred
  • Understanding of financial planning concepts and/or brokerage operations (various account types and purposes) highly preferred
  • Familiarity with Salesforce, Tamarac, or similar softwares preferred
  • Advanced level proficiency in Microsoft Office
  • Experience working with Schwab as custodian preferred
  • Solid verbal and written communication skills across varying mediums and with a wide variety of stakeholders
  • Desire to play a role in process improvement via new technologies and concepts
  • Ability to showcase successful time management and task prioritization to champion client needs

This position is intended to be an on-site, public-facing role; however, we are open to flexibility in working hours and location, including a hybrid schedule, as scheduling and job responsibilities permit.




Compensation: $60k - 70K DOE
