We are expanding our team and hiring a Client Service Associate. This position is responsible for facilitating and maintaining ongoing client support, answering general inquiries, handling various client matters, researching, and resolving client service issues, and preparing required documents. You're an administrative pro who wants to be more and do more. You are organized and able to work independently while thoroughly enjoy being part of a team. You will have impeccable detail orientation abilities and an unwavering ability to figure things out, even with little to no direction. We are a small office so we all help each other in any way we can! Due to the nature of our industry, this is a full time, in office position.

Responsibilities:

  • Secure files and maintain all confidential client and required information
  • Prepare, organize, coordinate, and maintain all client paperwork, submitting within 24 hours; manage the transfer of assets
  • Prepare Advisors for meetings with appropriate forms, reports, data and research
  • Perform portfolio administration with regard to client data, contributions and withdrawals
  • Respond to client requests for service and trouble-shoot service issues
  • Establish client files and maintain client data in CRM program
  • Assist Advisors with client communication, agendas, recaps and recommendations
  • Proactively communicate with Advisors regarding work in progress
  • Scheduling client reviews
  • Regularly prepare supporting materials and sample reports for clients
  • Participate in development and presentation of client/prospect educational events
  • Answer inbound phone and email inquiries and route to appropriate staff and team members
  • Meet and greet clients and visitors to office & maintain monthly calendar
  • Attend all compliance training
  • Maintain all licenses for State and Federal Securities Law; Licensing renewals and new applications, CE credits monitoring for all advisors
  • Support existing organizational staff in assigned project work
  • Open mail and oversee mail handling procedures
  • Perform general clerical duties including but not limited to copying, faxing, mailing and shipping

Background

  • 3+ years’ of administrative and client service experience; financial services experience a plus
  • Bachelor’s degree preferred
  • Must have strong organizational and prioritization skills
  • Willingness to take initiative and work independently to research/resolve client issues
  • Ability to take direction
  • Must be an above average communicator with exceptional interpersonal skills
  • Problem solving skills to determine the most efficient method of problem resolution while complying with corporate and regulatory procedures
  • Excellent work ethic

  • Professional attitude, demeanor, and appearance
  • Strong attention to detail
  • Must be computer literate and proficient with Windows, Word and Excel; experience with CRM (Customer Relationship Management) database highly preferred

Compensation: $20 - $23/hr
