We are expanding our team by hiring an experienced Client Service Associate, on a fully remote and part time basis. In this role, you will play an important part in servicing, maintaining, and enhancing the strong relationships built with our clients. Whether it’s setting up new accounts, handling service requests, scheduling meetings, or answering phones, you take ownership of the task and follow it to completion. You have high attention to detail and a strong working knowledge of industry software, systems, and processes. Being your proactive self, you look for ways to take care of as much as possible so the advisory team can focus on financial planning, meeting with clients, and delivering value. Your personal drive and initiative is what will make you successful here! Additional responsibilities could include basic office management functions, vendor management, compliance, and marketing.


  • Coordinate with the advisor and clients to complete and process new account paperwork, transfers, contributions, and keep client accounts in good standing
  • Communicate, process, track, and follow up with clients on various client service items, including general questions, applications, withdrawal requests, beneficiary changes, etc.
  • Schedule client meetings, maintain calendar, and coordinate scheduling internally and externally; monitor client meeting frequency
  • Research and prepare information needed for client meetings; documents, notes, reports, and presentation materials
  • Prepare, organize, coordinate, and maintain all client paperwork and electronic files in their folder and client portal; ability to work with clients and colleagues on sharing documents through technology
  • Maintain client records in database, including documentation of phone calls and conversations
  • Track, process, and support clients through the RMD process
  • Print and prepare envelopes for physical mailing of quarterly reports
  • Prepare appropriate company agreements and disclosures
  • Participate in the planning, preparation and presentation of client appreciation and marketing events
  • Maintain awareness and knowledge of all compliance regulations and act according to those requirements
  • Maintain the highest level of professionalism and friendliness with clients


  • College graduate highly preferred, or equivalent work experience
  • 3+ years of financial services experience required; ideally within an RIA supporting a financial advisor
  • A commitment to excellence; detail-oriented, client-focused, and highly organized
  • Tech-savvy and highly proficient in Microsoft Office suite, Schwab Advisor Center, Tamarac Suite (Tamarac CRM and Tamarac Reporting), Egnyte (file sharing and storage), Adobe DC; strong ability to learn and apply new software systems quickly
  • Excellent interpersonal and communication skills; ability to communicate in a pleasant, tactful and effective manner (both orally and in writing), and to handle difficult, sensitive issues
  • Self-motivated and capable of working independently while thriving in a collaborative team environment
  • Strong time management skills; ability to prioritize and coordinate multiple work assignments and deadlines efficiently despite frequent interruptions
