ABOUT THE ROLE

With your keen focus on quality, accuracy, and efficiency, you'll play a central role in completing crucial client paperwork and tasks, encompassing new client onboarding, cashiering, account transfers and more.

In this role, support our advisors, our clients and our continued growth. This is a critical role in our organization. You are going to be tech savvy, an adopter of change and always willing to help. You are naturally curious, and you are capable of identifying efficiency gaps and executing on improvement. You have been in the business awhile and understand many, if not all, client situations, even when complex. Because of this, you are proactive and able to help clients and your advisors steer clear of landmines.

Areas of Responsibility

  • Prepare and ensure new business paperwork successfully submitted which includes preparing forms, obtain appropriate signatures, prepare documentation to upload to home office, track new insurance applications and coordinate rollovers
  • Correspond with clients to complete new accounts, asset transfer, and other forms and resolve client service challenges in accordance with stated service level agreement
  • Handle routine matters for client accounts to include processing name and address changes, account applications, and bank authorizations, answering client questions
  • Schedule client meetings and reviews according to service tier schedule, confirming one business day prior
  • Build and maintain strong relationships with clients by serving as their first point of contact
  • Make outbound calls to established, new, and prospective clients to update about events, remind about meetings, events or needed signatures, and keep in touch
  • Assist in planning and execution of client appreciation events
  • Input and update all client and prospect data into systems
  • Provide information about the organization and direct visitors as needed
  • Answer incoming phone calls, take accurate messages, and redirect calls to appropriate individuals
  • Accept and route deliveries and/or daily mail
  • Set up conference room and welcome screen for meetings
  • Assist with audits and regulatory compliance as necessary
  • Communicate with third party vendors as necessary
  • Timely response to all client and advisor inquiries
  • Any other administrative office tasks that may arise

Qualifications

  • A strong desire, ability, and commitment to deliver on the above with consistently high performance
  • 3+ years’ experience within financial services, preferably supporting one or more financial advisors within an RIA
  • High school diploma or equivalent; Bachelor’s degree highly preferred
  • Friendly and outgoing demeanor
  • Excellent communication skills - written and verbal
  • Proven experience in client service or customer support roles
  • Strong organizational and time management skills
  • Attention to detail and accuracy in data entry and recordkeeping
  • Ability to work independently and collaboratively in a fast-paced, deadline driven environment
  • Experienced and open to embracing the firm's unique methodologies, blending expertise with a commitment to continuous learning and development
  • Experience with our core platforms is preferred (Fidelity, Schwab, Redtail, eMoney, Tolerisk, Holistiplan, Microsoft Suite)

 The Benefits

The Client Services Associate is a full-time, W-2 position. Salary + bonus ranges from $70,000 to $90,000, depending on experience.
