Our firm is looking for a Client Service Associate to support our advisors, our clients and our continued growth. This is a critical role in our organization. This position is responsible for facilitating and maintaining ongoing client support, answering general inquiries, handling various client matters, researching, and resolving client service issues, and preparing required documents. You are going to be tech savvy, an adopter of change and always willing to help. You are naturally curious, love organization and detail work. You have been in the business awhile and understand many, if not all, client situations, even when complex. Because of this, you are proactive and able to help clients and your advisors steer clear of landmines.

Responsibilities & Activities

  • Verifies that all requests to custodians are received and handled to completion
  • Coordinates, prepares, mails, and processes initial document packages
  • Answers phones and assists clients with money movement request (checks, journals, wires, ACH), account transfers, tax documents, and beneficiary updates
  • Manages new document intake, reconciliation, and follow up with clients on missing items
  • Is responsible for monitoring custodian account alerts, researching issues and determining a resolution in accordance with the firm’s client service guidelines
  • Handles all non-advisory tasks for the professional advisory team
  • Inputs and maintains accurate client information in all appropriate databases and software applications
  • Tracks outstanding client transfers and purchases/redemptions of alternative assets
  • Effectively manages and prioritizes workflow created from CRM action items, phone calls from clients, emails, and additional work not flowing through the central database
  • Scans and files any paperwork directly generated by personal daily activities and assists the team with scanning/filing when necessary
  • Ensures that complete cost basis information for client accounts is updated and available with the appropriate custodian
  • Other special projects to support firm-wide process improvement and capabilities

Knowledge, Skills, & AbilitiesBachelor’s degree preferred

  • 1+ years’ experience in the financial services industry with a concentration in securities and investment operations
  • Familiar with Orion, Eclipse, Schwab and industry-specific CRM platforms preferred
  • Advanced Microsoft Office skills
  • Excellent communication skills and a sense of urgency
  • Excellent customer service and administrative abilities
  • Can-do attitude, enthusiastic, and a strong aptitude for learning
  • The ability to effectively prioritize workloads and complete tasks within well-defined guidelines and time constraints is essential
  • Organizational skills and attention to detail are critical given the nature of paperwork, processes, and work, upon which both clients and the advisory depend
  • This person is an intelligent, analytical thinker with the ability to draw on a range of resources to ensure a high-quality outcome across the position's responsibilities

Compensation: $55K - $70K + Bonus
