ABOUT THE ROLE.

Are you a detail-oriented professional with a passion for personalized support and managing diverse responsibilities? We are currently seeking an Associate to play a vital role in our team dedicated to serving ultra-high-net-worth clients. In this position, you will be at the forefront of coordinating various aspects of our clients' financial and personal matters, ranging from investments, taxes, trusts, real estate, legal, and personal concierge support. You’ll work directly with our Founder to ensure a tailored and seamless service experience.

Your primary skill set lies in project management, allowing you to efficiently navigate and oversee tasks from initiation to completion. Collaboration with internal and external partners, coupled with clear communication with the clients we support, will be essential to your success in this role. Your unparalleled ability to uphold client trust and maintain the utmost confidentiality is truly remarkable. Due to the nature of the family office work we do, having accounting education or experience would be immensely helpful.

Client & Project Management

  • Lead the team to ensure workflow is progressing and administrative matters are met
  • Facilitate communication between clients and our Founder, ensuring timely responses to queries and concerns
  • Participate in brainstorming sessions on complex client strategies
  • Manage detailed execution of tax, estate, investment, entity, etc. strategies
  • Coordinate with third parties including: brokerage firms, banks, accountants, insurance agents, attorneys, trustees, real estate agents, etc.
  • Assist with establishing various entities for clients filing/ tracking necessary paperwork related to those entities (primarily LLCs and Trusts)
  • Ensure all executed documents are retained and filed in an organized manner, tracking service agreements closely
  • Manage reports to ensure personal/business financials are accurate

Accounting

  • Support client bill payment requests, ensuring timely and accurate execution
  • Perform cash flow and financial planning analyses, including reviewing clients’ cash, liquid, illiquid, holdings and investment allocations
  • Monitor cash flow activity, payroll, tax payments, and insurance policies
  • Perform financial statement consolidations
  • Assist with client tax planning and annual tax return preparation including gathering tax documents for clients’ accountants, processing payments of income and property taxes, and overall coordination

Client Service

  • Provide concierge services, solving complex family office problems with the strictest confidentiality
  • Prepare for and participate in all client meetings, preparing agendas and relevant reports, taking detailed notes and actively capturing decisions and action items, then oversee tracking and follow-up processes
  • Help clients understand what documents/actions needed from them and follow-up to ensure they follow-through
  • Analyze, manage, execute and follow-up on cashiering requests including checks, wires, deposits, journals and ACH transfers
  • Prepare needed forms for new bank, brokerage and bill pay accounts, obtaining signatures and following up on account setup as needed
  • Manage clients’ private investments by preparing forms as needed, following up on documentation, notifying various third parties, and coordinating with clients
  • Manage and maintain the organization of client information within financial planning systems, CRM databases, data management systems, etc.

Qualifications

  • Bachelor’s degree, preferably in Business, Accounting or Finance required; advanced degree preferred
  • CPA, CFP, PMP or other relevant certification preferred
  • 5+ years’ experience working with high-net-worth or ultra-high net-worth clients; experience in administration, financial services, chief of staff, paralegal and trust departments could be a good fit
  • Ultra-high attention to detail capability
  • Highly trustworthy; able to handle confidential information with discretion, tact, and diplomacy
  • Ability to think through each situation from a micro and macro point of view; identify ways to expand support
  • Foster excellent relationships with clients, taking ownership of work product

The Benefits

The role is a full-time, W-2 position. Salary + bonus ranges from $80,000 to $100,000 depending on experience. Additional benefits include a medical allowance, a retirement plan with a 4% company match, wellness initiatives, paid and volunteer time off, and growth opportunities.
