About the Role.

Are you an operational expert passionate about managing people and ensuring seamless day-to-day execution? We're actively seeking an Operations Manager to play a pivotal role in overseeing various aspects of business operations, particularly one who thrives in an integrator role. In this position, you'll focus on translating broader visions and goals into actionable steps, actively contributing to day-to-day tasks.

Bringing a wealth of experience in client service, custodial operations, finance, HR, and technology, you consider yourself an 'integrator' who enjoys being hands-on in the work. Your expertise in project management, along with the ability to manage competing priorities, will be crucial in this role. Being open to learning our unique approach while bringing in fresh ideas for improvements is key.

As a resourceful and self-starter, you'll relish the opportunity to mentor and develop others. Taking on the role of the primary supervisor for our Client Service position, you'll provide leadership and guidance, actively contributing to our collaborative team environment.

Business Operations

  • Drive the Strategic Planning process, overseeing the execution of strategic initiatives and firm projects with a focus on seamless integration.
  • Establish standardized and well-documented operating procedures, processes, and workflows for each business area, promoting efficiency, consistency, and continuous improvement across the organization.
  • Support the development of the firm’s annual budget aligned with strategic objectives, implementing cost-saving measures to optimize resources.
  • Create financial reports and performance metrics for leadership insights, aiding informed decision-making.
  • Evaluate, manage, and renew firm systems, technology, platform and vendor relationships.
  • Support office management, handling relations with landlords and vendors, document management, and office equipment.
  • Implement and regularly update cybersecurity and business continuity processes.
  • Prepare and organize accurate financial records to ensure readiness for regulatory audits, collaborating with auditors to address identified issues promptly.
  • Collaborate with external legal counsel and consultants on legal matters and the development of client agreements.

Client Service & Back-Office Operations

  • Oversee custodial and back-office service providers, promoting effective communication and collaboration while managing vendor relationships.
  • Oversee client onboarding and ongoing client service, ensuring efficient gathering and organizing client data, and completion of paperwork in a timely and accurate manner by the service team.
  • Handle complex client requests, while overseeing the service team’s compilation of client requests, such as account applications, fund transfers, account updates, beneficiary updates, and other administrative tasks.
  • Oversee delivery of our annual service calendar by advisors and the client service team, ensuring clients receive efficient and proactive services.
  • Design and manage reporting for client service, outstanding issues or alerts, and provide updates on pertinent items.
  • Implement a structured process for handling client complaints and feedback to improve service quality.
  • Implement and maintain effective communication channels, such as client newsletters or informational webinars.
  • Oversee the fee billing, ensuring accurate calculations and timely collection.

Human Resources

  • Manage and provide leadership for a team of direct reports within the operations department, overseeing their day-to-day activities, professional development, and performance.
  • Establish a robust performance management system, incorporating regular professional development reviews, team goal-setting, and ongoing training programs.
  • Establish a system for tracking and ensuring compliance with licensing and continuing education requirements.

Qualifications

  • 7+ years’ experience in financial service operations, ideally in a Registered Investment Advisory firm.
  • A proven track record of leading, managing and training direct reports to success.
  • Strong analytical and problem-solving skills with a proven ability to make sound decisions based on date and experience
  • Ability to understand and construct efficient processes, showcasing a talent for strategic thinking and implementation.
  • Strong project management skills, with experience managing projects from conception to completion
  • Able to coordinate, prioritize, and effectively manage changing priorities and tasks.
  • Understanding of and adherence to relevant industry regulations and compliance standards.
  • Experience with our core platforms or equivalents is ideal (Fidelity, TD/Schwab, Redtail, eMoney, Tolerisk, Holistiplan, Microsoft Suite)

The Benefits

The Operations Manager is a full-time, W-2 position. Salary + bonus ranges from $90,000 to $130,000, depending on experience. Additional benefits include a medical allowance, a retirement plan with a 4% company match, wellness initiatives, paid and volunteer time off, and growth opportunities.
