Executive Administrative Assistant

Our client, a global technology leader, is seeking an Executive Administrative Assistant to support their Azure Edge engineering team.   2. Headcount Management: Minimum 3-5 years of experience handling organizational headcount management processes.
  3. Event Planning: Minimum 3-5 years of experience planning and coordinating large team events.

Opportunity Overview:

This position supports the Azure Edge engineering team, which has grown exponentially and requires additional support for headcount management, budget tracking, project oversight, and calendar logistics. You’ll work closely with leaders and teams to ensure the seamless operation of meetings, morale events, and travel. This role is an exciting opportunity to contribute to a team that is rapidly gaining interest worldwide.

Responsibilities include, but are not limited to the following:

Executive Support and Calendar Management:

  • Provide strategic calendar management and time planning support for executives and team calendars as needed.
  • Manage meeting preparation and logistics based on the business needs of the team.
  • Coordinate end-to-end travel arrangements (domestic and international), including logistics, detailed itineraries, and security accommodations.

Expense Report and Budget Management:

  • Process and approve expense reports in compliance with company policies.
  • Track and manage budgets, including creating purchase orders (POs) and monitoring expenses.
  • Educate teams on compliance policies and escalate issues as needed.

Headcount Management:

  • Manage headcount activities, including the creation of positions, transfers, departures, reporting, and offboarding.
  • Collaborate with the Chief of Staff and Business Managers to maintain accurate headcount reporting using internal tools.

Onboarding and Offboarding:

  • Partner with Global Talent Acquisition (GTA) to support internal and external recruitment efforts.
  • Facilitate onboarding activities, such as ordering new hire equipment, setting up workspaces, and providing key resources.
  • Act as a central point of contact for new employees, vendors, and interns to ensure a smooth onboarding experience.

Meeting, Event, and Morale Support:

  • Plan and manage logistics for team meetings, events, and offsites, including catering, meeting spaces, and preparation of materials.
  • Own and manage team morale events and budgets, ensuring alignment with team objectives.

Cross-Functional Collaboration:

  • Build strong networks across the organization to support team and leadership goals.
  • Act as a communication liaison between executives and their teams to ensure smooth information flow.

Qualifications/Experience:

  • 5+ years of administrative, business support, or customer service experience, with a focus on executive-level scheduling and travel management.
  • 3+ years of experience using Microsoft Outlook, Word, Excel, and PowerPoint.
  • 2+ years of experience supporting executives in a corporate environment.
  • Strong verbal and written communication skills, with the ability to multitask and manage time independently.
  • Demonstrated ability to keep information organized and confidential.

Preferred Qualifications:

  • International experience working with global teams across different time zones (Asia, Europe, and North America).
  • Experience managing organizational budgets and headcount at a large scale.

Education/Experience:

  • High school diploma or GED required; a bachelor’s degree is preferred but not mandatory.
