Our client, a real estate firm, is seeking a proactive and detail-oriented Executive Assistant to support the Vice President of the company with high-level administrative, operational, and organizational support.
The ideal candidate will be responsible for ensuring the Vice President’s day-to-day operations run smoothly, managing calendars, coordinating meetings, preparing communications, and serving as a liaison between departments and external stakeholders.
Responsibilities:
- Manage and maintain the Vice President’s calendar, including scheduling meetings, calls, site visits, and travel arrangements with precision and foresight.
- Prepare internal and external communications, reports, presentations, and correspondence, ensuring high accuracy and professionalism.
- Act as a gatekeeper and primary point of contact for internal teams, clients, vendors, and partners on behalf of the Vice President.
- Coordinate and organize meetings, including logistics, agendas, documentation, and follow-ups to ensure seamless execution.
- Handle confidential and sensitive information with discretion, maintaining a high level of integrity and trust.
- Support real estate project administration, including tracking timelines, deliverables, and liaising with relevant parties.
- Assist in managing special projects and initiatives led by the VP, ensuring tasks are completed on time and aligned with company objectives.
- Monitor and prioritize incoming communications and requests, helping the VP stay focused on high-impact responsibilities.
Qualifications:
- 2+ years of experience as an Executive Assistant or in a senior-level administrative role, preferably in real estate, finance, or professional services.
- Exceptional organizational and time management skills, with the ability to multitask and prioritize in a fast-paced environment.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and digital collaboration tools (e.g., Zoom, Slack, Google Workspace).
- Strong verbal and written communication skills, with the ability to draft professional-level documents and correspondence.
- Demonstrated ability to handle confidential information with discretion and sound judgment.
- Strong interpersonal skills and the ability to build relationships across all levels of the organization and with external partners.
- Experience coordinating travel, managing schedules, and supporting C-level or VP-level executives with complex administrative needs.
- A self-starter with a problem-solving mindset and a strong sense of accountability and follow-through.

Salary: $120K
Compensation: $120,000.00
