Our client, a real estate management company, is seeking a detail-oriented Office Administrator with expertise in finance and property management support.
The ideal candidate will be responsible for managing all financial daily transactions, preparing monthly billing for rental income, maintenance fees, and construction charges, and delivering clear, organized financial reports to property owners.
Responsibilities:
Manage daily financial communications with investors, clients, and stakeholders, ensuring accuracy and professionalism in all exchanges.
Track all incoming rental payments, maintenance fees, and construction-related charges, maintaining meticulous daily records.
Design and implement a systematic, efficient process for monitoring and reconciling all financial transactions.
Generate and send detailed monthly invoices to clients based on rental income, maintenance fees, and project expenses.
Prepare clear and comprehensive financial reports summarizing monthly financial activities for property owners.
Collaborate with property managers and the construction team to verify charges and ensure accurate client billing.
Maintain digital and hard-copy filing systems to organize all financial records, invoices, and communications for easy retrieval.
Identify discrepancies or delays in payments and proactively communicate with clients and stakeholders to resolve issues promptly.
Qualifications:
3+ years of experience in office administration, preferably within property management or construction-related industries.
Proficiency in financial software (such as QuickBooks, AppFolio, or similar) and advanced Microsoft Excel skills for transaction tracking and reporting.
Strong organizational and time-management skills, with the ability to create and manage efficient financial processes.
Excellent written and verbal communication skills for interacting with investors, clients, and stakeholders professionally.
High attention to detail and accuracy, with a proven track record of managing complex financial information without errors.
Ability to independently solve problems and develop systems for financial tracking and reporting.
Understanding of property management financials, including rental income, maintenance charges, and construction billing.
