Payroll

  • Process outsourced biweekly payroll in compliance with federal, state, and local regulations, including review and reconciliation of timecards, leave balances, and benefit deductions
  • Maintain payroll system data to ensure accurate classification and allocation of employee costs across multiple funding sources, departments, cost centers, pay rate changes, and tax elections
  • Manage year-end payroll tasks, including W-2 processing with outsourced payroll vendor
  • Resolve employee payroll inquiries in a timely and confidential manner
  • Collaborate with Human Resources to ensure alignment between payroll and employee records
  • Prepare and post payroll-related journal entries to the general ledger
  • Reconcile payroll accounts monthly, including wages payable, tax liabilities, and benefits
  • Support implementation of payroll provider transitions and HRIS system integrations
  • Maintain comprehensive written procedures for full-cycle payroll processing

General Ledger Accounting

  • Monitor labor allocations and ensure costs are recorded in the correct accounts and funding sources
  • Perform monthly balance sheet reconciliations
  • Support month-end and year-end close processes by providing accurate and timely payroll-related financial data
  • Assist with audit preparation, including schedules and documentation related to payroll and general ledger activity

General Administrative

  • Ensure compliance with all applicable wage laws, regulatory requirements, and internal financial policies
  • Assist in reviewing and updating internal payroll and accounting procedures for improved efficiency
  • Stay current on changes in payroll tax laws, accounting standards, and reporting requirements
  • Complete additional projects as assigned

Required Qualifications

Education & Experience

  • Bachelor's degree in Accounting, Finance, Business Administration, or related field (equivalent accounting experience may be considered in lieu of degree)
  • 2+ years of payroll processing and general ledger accounting experience
  • Nonprofit or government-funded organization experience preferred

Technical Skills

  • Proficiency in payroll software platforms (ADP, Paycom, Paylocity, or similar)
  • Experience with accounting systems (NetSuite, MIP, Intact, or fund accounting software)
  • Strong understanding of payroll tax regulations, labor cost allocations, and GAAP principles
  • Knowledge of fund accounting and grant-funded payroll allocations
  • Advanced Excel skills and proficiency in Microsoft Office Suite

Preferred Qualifications

  • Experience with Paycom payroll system
  • Experience with Abila MIP accounting software
  • Experience with government grants and contracts
  • Professional payroll certification (CPP, FPC, or equivalent)
  • California Labor Law knowledge and compliance experience
