Payroll & HR Administrator (US Payroll)

Our client, a leading Oil & Gas services company is seeking a Payroll & HR Administrator with expertise in U.S. payroll administration. This role is responsible for managing all aspects of U.S. payroll processing and benefits administration, ensuring employees are compensated accurately and in compliance with regulations.

Responsibilities

  • Accurately process payroll for U.S.-based employees, ensuring all required deductions, withholdings, and compliance measures are met.
  • Manage payroll-related activities, including new hires, terminations, transfers, salary adjustments, commissions, and bonuses.
  • Leverage Timeco and Ceridian to oversee time tracking, overtime, and leave management.
  • Maintain and update employee records in Ceridian and FieldCap, including reactivations as necessary.
  • Prepare and distribute employment letters and other related HR documentation.
  • Review and reconcile field bonus reports for payroll and end-of-month journal entries.
  • Ensure payroll files are current, organized, and compliant with audit standards.
  • Accurately track and manage employee vacation and sick leave balances.
  • Provide Department Managers with payroll updates and support for annual review schedules.
  • Administer group benefits programs, ensuring U.S. employees are informed and supported regarding their benefits.
  • Manage WCB (Workers' Compensation Board) reporting and claims specific to U.S. operations, in collaboration with the Health & Safety team.
  • Calculate taxable benefits for leased vehicles and handle year-end payroll reporting.
  • Provide cross-functional support to other departments as needed.
  • Adhere to all HSE (Health, Safety, and Environment) and quality system requirements.

Qualifications

  • Post-secondary certificate in Payroll or Human Resources, with 3–5 years of relevant experience.
  • Strong expertise in U.S. payroll systems, regulations, and compliance.
  • Proficiency in Ceridian, Timeco, and other payroll tools is essential.
  • Familiarity with the Oil & Gas industry is an asset.
  • Exceptional organizational skills with high attention to detail.
  • Analytical and decision-making capabilities with excellent written and verbal communication skills.
  • Proficiency in MS Office Suite; familiarity with SAP is a plus.
