A busy Finance Firm is seeking a highly organized and professional Executive Assistant / Office Manager to oversee the daily operations of their new office location.
This individual will manage office activities to ensure efficiency, assist with executive support, and serve as the face of the firm at the front desk. The ideal candidate will have solid experience in office management or executive assistance and possess excellent interpersonal skills, a polished appearance, and a customer service-oriented mindset.
Responsibilities:
- Manage the day-to-day operations of the office, including overseeing office supplies, maintaining equipment, coordinating repairs, and ensuring the workspace is organized, clean, and well-stocked.
- Provide administrative support to senior staff, including managing calendars, scheduling meetings, coordinating travel, preparing presentations, and drafting correspondence.
- Serve as the first point of contact for visitors and clients, ensuring a professional, welcoming environment. Handle phone calls, greet clients, and manage appointment scheduling for attorneys.
- Coordinate with office staff to ensure effective communication and smooth workflow. Assist with onboarding, office-wide announcements, and maintaining employee morale.
Skills required:
- Ability to handle multiple tasks efficiently and prioritize effectively in a fast-paced environment.
- Professional written and verbal communication skills for interacting with clients, vendors, and staff.
- Excellent interpersonal skills with a polished, professional appearance and the ability to represent the firm effectively at the front desk.
- Ability to quickly identify issues, propose solutions, and adapt to changing office needs and priorities.
Requirements:
- 3+ years of experience in office management or executive assistance, preferably in a professional services setting.
